We are seeking an EXPERIENCED in office Executive Administrative Assistant with 7+ years of experience. We are a well-established non-profit foundation. This full-time position will report directly to the company Executive.
Responsibilities:
• Able to multi-task and prioritize and re-prioritize tasks as they arise
• Understand the importance of completing tasks with urgency and professionalism
• Manage and organize the executive’s calendar for meetings and events
• Coordinate and schedule various meetings; prepare and distribute meeting agendas
• Attend relevant meetings and take detailed minutes and prepare briefing materials
• Draft letters, documents and email correspondences
• Coordinate travel arrangements and organize itineraries
• Answer and screen phone calls and manage incoming inquiries professionally
• Grant processing experience helpful
Minimum Requirements:
• 7-10 years of administrative assistant experience, with at least 5 years’ experience in the Music Industry
• Proven ability to maintain strict confidentiality and professional discretion
• Strong professional & written communication skills with ability to take direction
• Proficiency in the standard office software and processes: Microsoft Office, Google Drive and Docs, and Spreadsheets, filing and data entry.
• Punctual, responsible, reliable, mature and professional in manner and attitude
• College degree preferred, or equivalent professional experience
• Positive attitude, can perform in a team setting
