Seeking a professional powerhouse Executive Assistant/Property Manager who can juggle calendars, travel, and property management — all while keeping things running flawlessly? My client is hiring for Executive Assistant & Property Manager to the CEO & Founder 🎥
This is an on-site, initially contract temp to perm position, located in West Hollywood, CA. You will join a dynamic team dedicated to producing high-quality touring and content projects.
EA Responsibilities:
- Manage complex daily operations for CEO and Founder
- Serve as point-of-contact and gatekeeper for all communication (email, calls, scheduling)
- Oversee and support hiring, onboarding, and HR coordination for contractors and staff
- Handle confidential correspondence and documentation with high discretion
- Maintain heavy, fast-changing personal and business calendars
- Track action items, take meeting notes, and follow through on execution
- Coordinate podcast guests, book studio rentals, and support media production logistics
- Generate contracts, invoices, tax forms, and ensure timely payments
- Manage digital and hardcopy filing systems
- Handle booking of business meetings, dinners, personal appointments, and reservations
- Delegate or complete personal tasks (errands, shopping, car maintenance, returns, shipping)
- Monitor and reconcile business credit card receipts and payroll records
🏠 Property Management -
- Supervise and manage staff at multiple properties (primary residence, office, investment property)
- Coordinate vendors, repairs, maintenance, and property upgrades
- Ensure properties are stocked, secure, and running efficiently at all times
- Handle procurement of insurance policies, certificates, permits, and utilities
- Track and maintain budgets for household and property expenses
- Liaise with cleaning, landscaping, security, and other third-party service providers
Requirements:
- 3+ years experience supporting a CEO, High-level Executive or Founder, preferably in Entertainment
- Prior experience managing residential or commercial properties is a strong plus
- High attention to detail and ability to juggle shifting priorities and deadlines
- Proven ability to manage dynamic calendars and book domestic/international travel
- Professional, discreet, and emotionally intelligent communicator
- Excellent organizational, time management, and problem-solving skills
- Tech fluent: Apple products, Microsoft Office (Outlook, Excel, Word)
- Familiar with:
- Google Drive & Calendar
- ADP Payroll
- Airtable, Notion, Basecamp
- 1Password, Zoom, ChatGPT
