Ultimate Floors is a family-run, B2B flooring company based in Los Angeles, serving contractors, installers, retailers, and developers. We specialize in high-quality hard surface flooring and pride ourselves on strong customer relationships, reliable service, and a fast-paced, team-oriented work environment.
We are currently seeking a Receptionist / Sales Support professional to be the first point of contact for our customers and a key support role for our sales and operations team.
Schedule
- Monday – Friday: 7:30 AM – 4:00 PM
- Some Saturdays: 8:00 AM – 1:00 PM
(This is an on-site position — no remote work.)
Key Responsibilities
- Answer and route incoming phone calls in a professional manner
- Greet walk-in customers including contractors, installers, and sales reps
- Assist with creating sales orders and invoices
- Coordinate will-call pickups and deliveries with the warehouse team
- Manage incoming emails (Sales@ inbox and general inquiries)
- Schedule pickups and deliveries
- Perform basic data entry and administrative support tasks
- File and organize paperwork
- Collect payments and process credit card transactions
- Assist customers with product information, pricing, and selection
- Handle samples, brochures, and price sheets
- Support sales staff and office operations as needed
Software & Systems
- QuickBooks Enterprise (experience is a strong plus)
- Microsoft Outlook, Word, and Excel
- Shipping portals and BOL systems
- Strong computer skills and proficiency with Microsoft programs are required.
- Customer Interaction
This role is not purely administrative. The position involves:
- Quoting pricing
- Upselling products when appropriate
- Helping customers choose flooring products

- Contractors & installers
- Retailers
- Internal warehouse and sales staff
Qualifications
- Prior experience in an office, receptionist, or sales support role
- Flooring or building materials experience preferred but not required
- Strong computer skills required; QuickBooks Enterprise experience is a major plus
- Ability to multitask in a fast-paced environment
- Reliable, punctual, and professional
- Spanish speaker
