This position plays a key role in creating a welcoming atmosphere for visitors and providing administrative support to the team. The ideal candidate will be bilingual (English/Spanish), have strong communication skills, and possess the ability to manage a variety of tasks efficiently in a busy office environment.
Key Responsibilities:
• Greet visitors warmly, ensuring they feel welcome and directing them to the appropriate person or department.
• Answer and manage phone calls, directing them as needed or taking messages.
• Schedule meetings, client visits, and company events.
• Maintain a clean, organized, and professional reception area.
• Collect, sort, and manage incoming mail and packages.
• Perform clerical tasks such as filing, photocopying, faxing, and maintaining records.
• Provide administrative support to team members by answering questions and facilitating meetings.
• Assist with maintaining security by managing guest sign-ins and validating parking.
• Process invoices, track payments, and perform light bookkeeping tasks.
• Occasionally provide office tours to visitors.
Qualifications and Skills:
• Bilingual in English and Spanish is required.
• Strong communication and customer service skills.
• Previous experience in a receptionist or administrative role preferred.
• Familiarity with basic office tasks such as answering phones, scheduling, and managing mail.
• Basic knowledge of financial record-keeping, including invoicing and processing payments.
