Title: Executive House Manager & Family Assistant
Location: Pasadena/Glendale, CA (with occasional travel)
Employment Type: Full-Time (30–40 hours/week)
Schedule: Monday–Friday, daytime hours. Flexibility for occasional evenings/weekends/emergencies, with all such time compensated in accordance with California overtime rules.
Start Date: ASAP
Compensation:$32–$38+/hour based on experience. This is a non-exempt, hourly position. All hours worked will be recorded and paid in compliance with California wage and overtime laws, including overtime after 9 hours in a day or 45 hours in a week.
Requirements:
Non-smoker
Reliable transportation and clean driving record. Family car may be provided for work-related driving, or mileage will be reimbursed at or above the IRS standard rate.
Final candidates will be required to complete a background check and drug screening after a conditional offer of employment, consistent with California law.
Up-to-date on vaccinations (COVID, flu, etc.) or willing to comply with household health and safety requirements, subject to applicable medical or religious accommodations.
Comfortable with cats (18-year-old cat in residence)
Discretion and commitment to privacy required
We maintain a safe working environment and provide training and equipment as needed to comply with California health and safety standards for domestic work.
Willing to sign a confidentiality agreement to protect the privacy of the family and any business or personal information encountered in the course of work.

Key Responsibilities
Household Management & Organization (2 homes within 15 minutes of each other)
Create and maintain household and organizational systems
Manage day-to-day organization across two households (closets, pantry, toy storage, etc.)
Reset and tidy rooms daily; walk-throughs to ensure safety, upkeep, and ambiance
Loading and unloading the dishwasher, making sure dishes are properly washed and put away
Maintain overall neatness, ensure hope is prepped for cleaning services
Oversee household schedules and calendars
Conduct seasonal swaps (clothing, décor, bedding, etc.)
Prepare for family events, holidays, and guest stays
Prepare and coordinate donation drop offs and pick ups
Support packing/unpacking for travel or seasonal transitions
Load/unload dishwasher, wipe surfaces, vacuum high traffic areas
Maintain indoor plants and light home maintenance (e.g., humidifiers, bug/spider comfort required!)
Errands & Inventory Management
Track and restock pantry, fridge, toiletries, household supplies
Create and manage running household supply lists
Coordinate and manage household orders (Amazon, Costco, Target, etc.)
Run errands: grocery shopping, returns, dry cleaning, gift shopping
Handle package pickup, mail sorting, and deliveries
Meal Planning & Kitchen Support
Plan and prep healthy meals 2–3 times per week based on family preferences and health goals
Collaborate with personal trainer to align food with fitness plans
Grocery shopping, pantry inventory, restocking
Clean kitchen and manage fridge organization post-meal prep
Laundry & Linen Care
Full laundry support for household: wash, dry, fold, organize
Ironing and steaming as needed
Manage linens: rotate bedding, refresh towels, restock essentials
Keep laundry areas tidy and well-stocked with supplies
Vendor & Property Oversight
Schedule and supervise service providers (cleaners, contractors, landscapers)
Research and coordinate repairs, maintenance, and quotes
Manage routine upkeep across one or multiple properties
Oversee outdoor spaces and seasonal maintenance needs
Serve as primary contact for vendors or guests
Deep Cleaning & Special Projects
Tackle deep cleans (fridge, oven, baseboards)
Maintain and refresh zones (mudroom, entryway, garage)
Handle emergency clean-ups (e.g., child sick)
Organize toy storage, seasonal gear, decorations
Executive Assistant Support
Coordinate travel, including flights, hotels, and points hacking
Research special hotels, experiences, or short-term rentals
Assist with calendar management and reminders
Light project management for new business or real estate ventures
Child & Family Support
As needed school drop-off/pick-up as needed (schedule may shift week to week)
Backup childcare or light supervision (e.g., if sick or home from school)
Prep lunches/snacks when needed
Pet Care
Feed and care for cat when needed (including potentially administering meds if required)
Pet and house sitting during travel
Restock food and pet supplies as needed
Ideal Candidate Has:
Experience supporting a household or family in a similar capacity
Experience managing multiple properties or a large estate
Familiarity with hospitality, luxury service, and/or high net worth families
Professional demeanor and experience with discretion and confidentiality
Background in operations, personal/executive assistance, or property management is valued
Handled multiple projects simultaneously while also detailing backend operations and considers it a key strength of theirs
Ability to take instructions, fill in gaps, figure out what is needed or needs to be researched and returns an exceptional product, solution, or service
