We are a Southern California commercial real estate investment & management firm seeking an experienced and energetic Receptionist/Administrative Assistant to become a part of our team! As Administrative Assistant, you will be integral as not only the first point of contact for tenants/visitors but also in the core functioning of the Executive Suites of our Class A Office Building and will be the right-hand person to the Property Manager/Leasing Agent in the following duties.


*Hours: 8 am - 5 pm, Monday - Friday
*Greet and direct guests and vendors
*Investigate and help to resolve tenant complaints
*Place maintenance requests and ensure all work orders are processed in a timely fashion
*Enforce property/company rules and regulations
*Answer phones for a multi-tenant executive suites, transfer calls and sort mail
*Draft correspondence to tenants and vendors
*Create 3-Day Notices, Invoices and tenant notices
*Deposit checks / accounts receivables and maintain deposit log
*Process invoices / accounts payables
*Place material orders for property renovation projects
*Coordinate vendor schedules
*Schedule conference room reservations
*Assists with other related clerical duties such as photocopying, faxing, filing and collating.
*Assists in the ordering, receiving, stocking and distribution of office supplies.
*Maintain marketing postings and assist in creating marketing material
*Maintain tenant contact information
*Analyze contracts and proposals, meeting with vendors as needed
*Assist in other projects and day-to-day activities for the property manager

*Education: Four-Year Degree Required
*Previous experience in Customer Service
*Great social skills, ability to build rapport with tenants
*Ability to multitask and prioritize
*Excellent written and verbal communication skills
*Analytical & math skills
*Experience in Microsoft Office. (Excel, Outlook, Power-point)
*Attention to detail and time management
*Ability to work independently
*Real Estate experience or license a plus
*Professional appearance and attire
