POSITION SUMMARY
As a member of our Front Desk department, Aesthetic Consultants establish a patient’s first impression both in person and over the phone. Going above and beyond for our patients is a crucial element in making them feel at home, whether they are planning their next visit or spending time with us in the office. In this role we expect you to be friendly, efficient, fast-paced, and team focused.
ESSENTIAL FUNCTIONS

• Smile and warmly greet all patients upon arrival, offering water or coffee.
• Understand and correctly use Practice EMR software for quoting, scheduling, intake and overall patient management.
• Check-in and assist all patients with their intake forms, ensuring accurate completion and receipt of patient demographics.
• Upon check-in completion, complete patient’s intake photos and guide them to their treatment room.
• Create, present, and review treatment quotations with patients for non-surgical and local anesthetic procedures. Review pricing, explain practice specials, and financing options as needed. Educate patients on procedures as needed.
• Manage and effectively promote reward programs (Allé and Aspire).
• Accurately schedule appointments based on treatment duration, provider availability, and required pre-treatment and post-treatment protocols.
• Answer all incoming phone calls with excellent phone etiquette. Promptly respond to voicemails and direct calls appropriately.
• Phone etiquette is essential – maintain a calm, courteous, and professional tone in every patient interaction.
• Maintain strong knowledge of all aesthetic services and treatments offered, including injectables, laser treatments, skincare, and combination therapies.
• Recommend after-care products and treatments based upon product knowledge and services received.
• Complete patient treatment plan book detailing future services, skin-care products, and any service quotations.
• Conduct outbound calls for appointment confirmation, post treatment follow-up, procedure reminders, and treatment plan discussions.
• Facilitate patient reviews by sending out all pertinent information, tracking posted reviews, and utilizing incentives for patient collaboration.
• Receive packages as delivered by carriers. Prepare and distribute incoming and outgoing mail and packages.
• Maintain cleanliness, organization, and stock of patient waiting area, refreshment station, Front Desk, and all retail or art displays/shelving.
• Assist the Service Manager with assigned tasks.
• Assist with model management and intake for Kian Karimi MD Inc events and trainings.
