Job Summary:
As an Operations Associate, you are responsible for providing accurate, efficient support to an Import/Export team. You will be expected to assist in shipment logistics, preparing documentation, and providing excellent customer service. This is an entry-level position and does not require any previous experience in freight forwarding or logistics, but you will be expected to learn certain facets of the industry and retain training. This position works under close direction of the Team Manager and is expected to assist senior team members as a critical function of the role.
DUTIES AND RESPONSIBILITIES:
• Accurately enter data into A-Works (in-house, proprietary application) for order generation, shipment instructions, and invoicing, as well as into external logistics programs and customer specific platforms
• Prepare, print, and organize any necessary documentation
• Match orders to load lists to ensure all shipment pieces are accounted for; promptly report any discrepancies
• Coordinate with Receiving Desks to ensure incoming shipments have arrived and are on time
• Review all documentation for accuracy
• Track and trace cargo using airline, SSL, and trucking websites and communicate information to team members and customers as needed
• Assist in researching quotes for shipments, trucking services, and warehouse storage
• Deliver documents to the airline if required and/or as needed
• Promptly report any order or shipment issues to the Manager and/or Team Lead
• Maintain a thorough knowledge of documentation required for destinations, commodities, and/or customers
• Maintain knowledge of documentation and procedures necessary to clear U.S. Customs
• Maintain knowledge of procedures required to adhere to Certification guidelines (USDA, FDA, TAS, SQF, etc.)
• Communicate promptly and professionally with customers as necessary
• Assist in answering phones and transferring calls to the correct and/or appropriate individuals
• Respond to emails promptly and courteously
• Follow all procedures as directed
• All other work-related tasks as assigned by the Manager and Team Lead
QUALIFICATIONS
• Bilingual in Korean or Japanese and English required (both written and verbal)
• High level of accuracy in work
• Detail oriented
• Ability to work under deadlines and pressure
• Experience in a customer service-oriented position
• Comfortable using computers for beginner to intermediate functions
• Ability to work in a team under supervision
• Must be able to sit for long periods of time
• Must be able look at a computer screen for long periods of time
• Must be able to lift, push, or pull up to 10 lbs.
• Must be able to complete a preemployment physical, drug screening, and background check
